The University of Oslo Library’s Privacy Policy

This privacy policy describes how the University of Oslo Library collects and uses personal data. The policy contains information to which you are entitled when data is collected (Personal Data Act, GDPR section 13, 1) and general information about how we process personal data (Personal Data Act, GDPR section 5, 1).

Affluences

This privacy policy describes how UiO collects and uses personal data in the Affluences booking system. The policy contains information to which you are entitled when collecting information (Personal Data Act - GDPR Article 13, 1) and general information on how we handle personal data (Personal Data Act - GDPR Article 5, 1) when using Affluences. Please note that by using this service you are accepting the Affluences Privacy Statement.

The purpose of the service

Provide services to students for booking group study rooms in the HumSam Library, Georg Sverdrups hus.

The following personal data is collected:

  • E-mail

The service uses Google Analytics to collect the following information for statistical purposes:

  • The IP address of the unit you use to connect to the service
  • Click stream to, through and from the site
  • Response time for the site
  • Date and time of connection
  • Cookies
  • Browser type
  • Browser extensions, including version
  • Display resolution
  • Operating system and system platform

All data will automatically be deleted after 12 months. Affluences does not share data with a third party.

BrowZine

The University Library makes BrowZine available to students and staff at UiO. The use of BrowZine is voluntary. The University Library does not collect personal data about you when you use this service. The information you provide to BrowZine is held on servers in the USA. Please note that by using this service you are accepting  BrowZine’s privacy policy.

DUO Vitenarkiv

This privacy policy describes how UiO collects and uses personal data in the DUO Research Archive. The policy contains information to which you are entitled when data is collected (Personal Data Act, GDPR section 13, 1) and general information about how we process personal data (Personal Data Act, GDPR section 5, 1) in connection with archiving your documents in DUO Research Archive or visiting DUO.

About DUO Research Archive

The DUO Research Archive is openly accessible on the Internet. DUO currently accepts student and master’s theses, as well as academic publications such as doctoral theses and articles. DUO is based on the open source platform DSpace.

Purpose of the service

DUO holds student and master’s theses, doctoral theses and academic publications from UiO. In connection with this, DUO Research Archive retrieves personal data from the Central University Student System (Felles Studentsystem) and CRIStin (the national research information system of Norway).

The following personal data is collected for student and master’s theses submitted via StudentWeb:

  • First name  
  • Last name
  • Student number
  • UiO username
  • Address
  • Email address
  • Phone number

These are held in order to ensure the unique identification of students in connection with:

  • the submission of theses via StudentWeb/Central University Student System;
  • the future depositing of theses in the National Archives of Norway;
  • being able to contact students in case of subsequent changes in DUO; and
  • searches in DUO. Only the author’s name is visible to the general public in connection with searches.

The following personal data is held for academic works that are submitted via CRIStin:

  • First name
  • Last name
  • The author’s ID number (generated by CRIStin)
  • Affiliation (institute + department)

These are held in order to ensure the unique identification of staff in connection with:

  • submission via CRIStin;
  • being able to contact authors in the case of subsequent changes in DUO; and
  • searches in DUO. Only the author’s name is visible to the general public in connection with searches.

For work that is uploaded manually into DUO:

  • Only the name is registered.

Visitor statistics

Certain actions (searches, facet selections, search function, etc.) are aggregated and recorded for statistical purposes, but this data cannot be traced back to individual users.

Exchanges with third parties

DUO is harvested by third party systems such as Google and the University Library’s Oria search service. Of the personal data collected, only the author’s name is shared.

Security measures

Login and identification

Only system administrators need to log in to DUO. Administrators are authenticated via either LDAP or as local users.

How do we secure the data?

All data traffic in and out of DUO is encrypted using HTTPS. User information for administrators is held in a secure database inside the application.

EZproxy

EZproxy uses UiOs own authentication solution (Weblogin), and stores the following data about your web traffic for 6 months before it is deleted, in accordance with general rules for system and security logging at UiO:

  • IP address of the device you use to connect to the service
  • URL of the online resource you wish to gain access to
  • Date and time of connection
  • HTTP method, HTTP code and payload size for the connection

  • Session ID generated by EZproxy
  • Username of your account at UiO

Your data is not shared with a third party.

FRITT

This privacy policy describes how UiO collects and uses personal data in FRITT. The policy contains information to which you are entitled when collecting information (Personal Data Act - GDPR Article 13, 1) and general information on how we handle personal data (Personal Data Act - GDPR Article 5, 1).

About FRITT

FRITT is a publishing service for researchers and the academic community at UiO who want to start peer-reviewed Open Access journals, or convert existing journals to Open Access.

The purpose of the service

The publication service FRITT stores peer-reviewed articles for researchers and the academic environment at UiO and some personal data is also stored.

This personal data is collected:

  • Name
  • Phone
  • E-mail address
  • Address

No sensitive personal data is stored. The personal information is manually registered.

Visitor statistics

Various actions (search, search function, etc.) are compiled and registered in order to use statistics. This is done in such a way that no data can be traced back to each individual user.

Exchange with third parties

Information about articles published in FRITT is hosted by the third party system, like Google and CrossRef (https://www.crossref.org/). Of personal information, only author names are shared.

Security measures

Login and authentication

System users and participants in editorial processes need to log in to FRITT. Users are authenticated as local users.

Securing the information

All data traffic in and out of FRITT is encrypted over HTTPS. Administrator user information is stored in a closed database internally in the application.

Juridika

This privacy policy describes how UiO collects and uses personal data in Juridika. The policy contains information to which you are entitled when collecting information (Personal Data Act - GDPR Article 13, 1) and general information on how we handle personal data (Personal Data Act - GDPR Article 5, 1) when using Juridika. Please note that by using this service you agree to Juridika’s privacy statement.

The purpose of the service

Juridika.no stores personal information, with the purpose of administering access to Universitetsforlaget’s law journals, professional books and updated law commentaries.

The following personal data is stored in connection with login via Feide:

  • Full Name (cn)
  • Name normally displayed (displayName)
  • Role (eduPersonAffiliation)
  • Organization name (eduPersonOrgDN: eduOrgLegalName)
  • Organization number (eduPersonOrgDN: norEduOrgNIN)
  • Organization name (eduPersonOrgDN: o)
  • Primary affiliation with organization (eduPersonPrimaryAffiliation)
  • Personal ID with the organization (eduPersonPrincipalName)
  • Persistent anonymous ID (eduPersonTargetedID)
  • First name (givenName)
  • E-mail (Mail)
  • Unique Organization ID (schacHomeOrganization)

The service uses Google Analytics to collect the following information for statistical purposes:

  • The IP address of the unit you use to connect to the service
  • Click stream to, through and from the site
  • Response time for the site
  • Date and time of connection
  • Browser type
  • Search history the website
  • Operating system and system platform

The statistics do not contain personally identifiable information.

Juridika does not share data with a third party.

Oria

This privacy policy describes how UiO collects and uses personal data in Oria. The policy contains information to which you are entitled when data is collected (Personal Data Act, GDPR section 13, 1) and general information about how we process personal data (Personal Data Act, GDPR section 5, 1) when you use Oria’s search service.

Perma.cc

The University Library makes Perma.cc available to students and staff at UiO. The use of Perma.cc is voluntary. The University Library does not collect personal data about you when you use this service. Please note that by using this service you are accepting  Perma.cc’s privacy policy. Please also note that when you save links to our organisation’s account, everyone who is part of the same organisation can see who has saved what links.

Pindena

This privacy policy describes how UiO collects and uses personal data in Pindena. The policy contains information to which you are entitled when collecting information (Personal Data Act - GDPR Article 13, 1) and general information on how we handle personal data (Personal Data Act - GDPR Article 5, 1) when using Pindena. Please note that by using this service you agree to Pindena’s privacy statement.

The purpose of the service

To provide services to students and staff for signing up for courses and events organized by UiO.

The following personal data is stored:

  • First name
  • Last name
  • E-mail
  • Mobile number
  • Position at UiO
  • Study- / work place
  • Visitor statistics

Various actions are aggregated and recorded in order to be utilized for statistical purposes, but in such a way that no data can be traced back to each individual user.

Pindena does not share data with any third party.

SimplyBookMe

The University Library makes SimplyBookMe available to students and staff at UiO. The use of SimplyBookMe is voluntary. The University Library does not collect personal data about you when you use this service. The information you provide to SimplyBookMe is held on servers in the USA. Please note that by using this service you are accepting  SimplyBookMe's privacy policy.

Zotero

The University of Oslo makes the reference tool Zotero available to students and staff at UiO. The use of Zotero is voluntary. Please note that by using this service you are accepting Zotero’s terms and conditions. The information you provide to Zotero is held on servers in the USA. Zotero is suitable for managing green data. Files containting sensitive data, or data thay may contain personal information, such as interviews, should be managed elsewhere. Your rights

Your rights with respect to the right to access, correct and erase, as well as the contact points for these, are described in  UiO’s privacy policy.

Data controller

In accordance with the Personal Data Act, section 2(4), the Director of the University bears overall responsibility for controlling personal data (see the University of Oslo’s privacy policy).

Changes to the privacy policy

The University of Oslo Library reserves the right to make changes to the privacy policy at any time. Any such changes will apply from the moment the updated privacy policy is published on this website.
