Information letter Call for Interviewees

Surveying Digital Scholarly Editions at the University of Oslo

BærUt! Network and Skills Hub for Sustainable Digital Scholarly Editions

Will you participate in our survey?

Purpose

In this project, we aim to understand how digital scholarly editions are produced, published, and archived at the University of Oslo. The goal of the project is to map the expertise and knowledge at the university in order to identify institutional, situational and subject-specific challenges that lead to issues related to long-term archiving, accessibility, maintenance, data and software integrity. We would like to gain insights and experiences from researchers, developers and software engineers who have created digital scholarly editions or prepared printed editions digitally.

The survey runs from mid-September 2024 to the end of April 2025 and will be conducted through in-person interviews.

This survey is part of a research project at the University of Oslo Library. The project is led by senior academic librarian and textual scholar Annika Rockenberger, PhD.

Why are you being asked to participate?

We ask you to participate because you are affiliated with one or more digital scholarly editions or printed editions.

What does it mean for you to participate?

Time

If you choose to answer the call for interviewees, we will ask you about scholarly editions (digital or non-digital) you are preparing, developing, and publishing. Answering the call will take 5-10 minutes.

Gathering of information

In this project, we aim to collect information about your scholarly editions. The personal information we will collect is the following:

First-person information: your name, institutional affiliation, IP- address, contact information, and details regarding your research.

We will store this information until the end of the project so we can contact you to conduct an interview.

After the project has been completed, we will archive information regarding the project (e.g., title, project run time, etc.) and institutional affiliation. All other personal information, e.g. contact information, and name, will be deleted.

Participation is voluntary

Participation in the project is voluntary. This means that you can choose whether or not you want to participate. If you choose to participate, you can withdraw your consent at any time before the report is published without providing a reason. All information about you will then be deleted.

Your privacy – how we store and use your information

We will not collect anything other than your name, affiliation with the institution, IP-address, and contact information.

We will not share your personal information with others. Only the project leaders and research assistant will have access to it. However, we will keep your contact information in case additional follow-up questions are necessary until December 2027, when the project ends. All data will be stored on a secure domain approved by the University of Oslo. After the project ends all collected data will be deleted.

What happens to your information at the end of the research project?

The survey part of the project will end in December 2025, when the findings of the interviews will be published as a report. We will ensure that all information about you is deleted by December 2027.

Your rights

You have the right to see the information we collect about you. After completing the survey, you will automatically receive a copy of your answers. You can also request that the information be deleted before June 2025. If any information needs to be corrected, you can let us know and ask the researcher to correct it. You can also ask us for a copy of the information.

You can also complain to the Data Protection Authority if you feel that we have handled your information carelessly or incorrectly.
